Why do firms look for SurePrep alternatives?
Usually for fit: a different workflow, a different tax package, a different review experience, or different commercial terms. The right answer depends on your firm, not on a feature list.
Before comparing tools, write down what you need. A clear list of requirements stops the evaluation from turning into a contest of feature counts.
What should a CPA firm compare between intake tools?
| Question | Why it matters |
|---|---|
| Which steps does the tool cover: upload, classification, extraction, review, export? | Gaps mean manual work or another tool. |
| Which tax software does it work with, and how? | Confirm the exact import path for your version. |
| Which document types does it handle? | W-2s and 1099s are common; K-1s and composites are harder. |
| What does review look like? | Values should sit beside the source, and approval should be required. |
| How is data stored and separated? | Ask about encryption and how firms are isolated. |
| Does it prepare returns or stay with intake? | Know where responsibility sits. |
| Onboarding, support and terms | Get them in writing from each vendor. |
How do you run a fair evaluation?
- Choose a set of real (or realistic) sample clients covering W-2s, several 1099 variants and K-1s, including a phone photo and a long brokerage PDF.
- Run the same set through each tool.
- Have the same reviewer check every result against source documents.
- Note review time, corrections needed, and anything that couldn't be handled.
- Test the export or import path into your own tax software.
- Ask each vendor the same security questions in writing.
What does NiniTaxBot do?
NiniTaxBot is AI tax-document intake for CPA firms: client portal uploads, AI classification and extraction, a firm review queue, and an integration designed to work with Canopy (in pilot testing). Lacerte, UltraTax CS and Drake exports are coming soon.
- Client portal: clients upload W-2s, 1099s, K-1s and more as PDFs, phone photos or ZIPs.
- Classification and extraction: each document is identified and its values pulled into structured fields.
- Review queue: your team checks values beside the source and approves; nothing leaves NiniTaxBot without approval.
- Integrations: designed to work with Canopy (in pilot testing); Lacerte, UltraTax CS and Drake exports coming soon.
- Security design: encrypted storage and firm-level data isolation at the database level.
What doesn't NiniTaxBot do?
It doesn't calculate taxes, prepare returns or file anything, and it isn't affiliated with or endorsed by any tax software vendor.
What requirements should you write down first?
- Your tax software and version, and how you'd like data to reach it.
- Your typical client mix: W-2-only, investment-heavy, pass-through-heavy.
- How clients send documents today and how you'd like them to.
- Who reviews data, and what an acceptable review step looks like.
- Your security requirements and what documentation you'll need for your WISP.
- Timing: when you'd need the tool running for the season.
With that list, any demo becomes a test of fit rather than a tour of features.
Who is NiniTaxBot a good fit for right now?
Firms (including Canopy users; Lacerte, UltraTax CS and Drake exports are coming soon) that want to reduce retyping at intake, keep a professional review step, and work directly with the founder during a pilot beginning February 2027. Spots are limited. See how it works or read what AI should and shouldn't do in tax practice.
